IMPORTANT! You must follow this process to ensure the employee is reimbursed. 


The Fleet Coordinator (or delegated backup) must complete all of the following steps before a State employee will be reimbursed for at home charging. This is a high level list. We strongly recommend reviewing the Overview of EV Home Charging Reimbursement Process article if your agency has an employee participating in the EV Home Charging Program to ensure all the steps are followed correctly in order for the employee to be reimbursed. The final step of this process is to complete the EV Home Charging Reimbursement Request Form; this serves as the required notification to SFM.

  1. The State employee must take home an electric vehicle (EV) or plug-in hybrid electric vehicle (PHEV) that is equipped with a Geotab telematics device.
  2. The State employee must have an approved charging station installed (or scheduled to be installed) at their home. 
  3. The Fleet Coordinator must set up a Zone (with appropriate Zone Types) around the employee's home in MyGeotab. SFM recommends encompassing a little outside of this area.  You can see this process at 17:45 in the EV Home Charging Training recording. 
    • The Zone must be assigned to both of the correct Zone Types
      • The Zone Type, "SFM-Home Charging" must be added to the newly created zone
      • The Agency Charging Zone Type, must be added to the newly created zone 
        • If a Zone Type needs to be created, create it. The Zone Type naming convention must be followed: "Agency Code-Charging" ex. DPA-Charging
    • The Zone naming convention must be followed, including the "~" (tilde) at the end: "Agency Code-XXXX~" ex. DPA-1234~
  4. Correct coding for agency reimbursement has been submitted to SFM via the EV Home Charging Reimbursement Request Form. The coding spreadsheet can be found within the request form. You may also download the EV Home Charging Reimbursement Coding Form now and complete and save for upload in step 5 below.
  5. Complete the EV Home Charging Reimbursement Request Form to inform SFM that the employee has been added to the Home Charging program. Once you have submitted the form, the FAST team will process your request. You will be notified if any additional information is needed and once it has been approved. 

SFM strongly recommends against using any personally identifiable information (PII) in the Zone name or description .
